Logistical Information 

This page provides preliminary logistical information for BCSC participants. For your convenience, the following information can also be downloaded as a PDF. This page will be updated with additional/updated information two weeks before the conference.

  1. Conference details

    The conference will start at 09:00 on 8th October 2024. Security check-in and registration will open at 08:00 on 8th October. Coffee and tea will be available from 08:00. Side events are currently being finalised. When planning travels, please note that some side events will take place the day before and day after the conference. Information on all side events will be made available via the conference website and the BCSC conference app.

     

  2. Location and access to the venue

    The conference takes place at the German Federal Foreign Office in Berlin, Werderscher Markt 1, 10117 Berlin. A government issued ID will be needed to access the conference. Please include at least 20 minutes for the security check-in when planning transport and arrival.

     

  3. Transportation

    Participants flying to Berlin Brandenburg International Airport (BER) can reach the city center using the S-bahn (lines S9 and S45) and regional train (RE8, RE23 and FEX Flughafen BER). 

    Please note than when traveling from the airport into the city, you need an ABC ticket. When traveling around Berlin city centre, an AB ticket should be sufficient when using public transit. More information about public transit in Berlin can be found here


    Registered taxis are available from the airport and cost approximately 50-70€ to the city centre. More information about taxis can be found here
    Uber, Bolt and Taxi-Berlin (https://www.taxi-berlin.de/app/) applications are widely used.

     

  4. Travel and accommodation 

    We encourage participants to book their travel and accommodation as soon as possible. All logistics and related costs are the responsibility of the participant. 

    Kindly note for participants who receive funding support, the conference organising team will directly book hotel and travel. A daily stipend is not offered, as all meals are provided either as part of the hotel booking or offered at the conference.

  6. Visas 

    To request letters for visa purposes, please contact conference organisers at berlin-climate-security-conferenceatadelphi [dot] de (berlin-climate-security-conference[at]adelphi[dot]de) with the following information:

    - Full legal name 

    - Date of Birth 

    - Nationality 

    - Passport number 

    Participants are responsible for booking appointments with their local authorities and covering costs associated with the visa application.

     

  7.  Conference website

    The conference website will be updated frequently with more information about the agenda, speaker overview and attendee lists. It is the best source for the most up-to-date information on BCSC.

     

  8.  Conference app

    The conference website will have public lists for attendees and speakers. The programme and speaker information will also be available in the lead up to and during the conference via a secure conference app. Log in details for the platform will be sent out 6 weeks before the conference.

     

  9. Registration 

    Please use the link in the official invitation email to register for the conference. Kindly note that since BCSC is by invitation only, the organising team confirms participants individually. As such there is a small delay between registering and receiving the confirmation. If you have not received a confirmation with 24 (working) hours of registering, please reach out to us at berlin-climate-security-conferenceatadelphi [dot] de (berlin-climate-security-conference[at]adelphi[dot]de).

     

  10. Coffee breaks, lunch and conference reception 

    All catering (coffee break snacks, lunch and reception fare) provided at the BCSC will be vegetarian with vegan and gluten-free options. Any additional allergies can be submitted via the registration form.

     

  11. Side meetings 

    If you would like a private space for bilateral meetings, you can book a specific timeslot for one of our reservable bilateral rooms via an email request to berlin-climate-security-conferenceatadelphi [dot] de (berlin-climate-security-conference[at]adelphi[dot]de).
